1.1 This policy applies to all paid services you purchase through Kaien Career's official platforms (including the website, WeChat, and other official channels).
1.2 This policy aims to clarify the refund arrangements we provide in our business practices. This policy does not affect your statutory consumer guarantee rights under the Australian Consumer Law (ACL). Under this law, you have the right to receive services provided with acceptable quality and fit for their purpose. If our services experience a major failure that cannot be remedied within a reasonable time, you may be entitled to a refund, remedy, or replacement.
2. General Refund Principles
2.1 Before Services Commence: If you submit a cancellation request before the services officially commence (as defined in Section 3), we will refund the remaining balance after deducting an administrative fee of $100 AUD or 20% of the order amount, whichever is higher. The administrative fee is used to cover initial consultations, plan formulation, and administrative resource costs.
2.2 After Services Commence: Once the services have officially commenced, under normal circumstances, all fees are non-refundable. This is due to the instant delivery and resource-exclusive nature of our services (especially tutor time, customized programs, and reserved slots).
2.3 Package Services: For package services that include multiple sessions or modules (such as the "Big Four Bootcamp" or "Accounting Courses"), they are treated as a single, complete service product. We do not support partial refunds for unused individual sessions or modules.
3. Definition of "Official Commencement of Services"
To avoid ambiguity, the "Official Commencement of Services" refers to the point in time when any of the following events occurs first:
You receive course materials, access links, or learning materials sent by us.
Your first one-on-one consultation or coaching session is successfully scheduled and confirmed.
We begin customized work for you, such as resume revisions or background assessments.
We submit an internal referral application to a partner enterprise on your behalf.
4. Handling of Special Circumstances
4.1 Inability to Continue Services Due to Our Reasons: If we are unable to provide the promised core services due to reasons on our part (such as a sudden emergency with a tutor or course cancellation), we will proactively negotiate with you to provide a comparable alternative or a pro-rata refund for the unfulfilled portion of the fees.
4.2 Medical and Other Emergencies: If you are unable to continue the services due to a serious health condition (a medical certificate must be provided) or other major force majeure events, please contact us in a timely manner. After verifying the situation, we will conduct an individual case assessment based on the progress of the services, and we may offer a course deferral or a discretionary partial refund.
5. Circumstances Where Refunds Do Not Apply
5.1 Refund requests based on personal reasons (such as time conflicts, change of mind, dissatisfaction with recommended opportunities, or failure to secure an interview or job offer).
5.2 Subjective evaluations of the service outcome (such as "feeling that it wasn't very helpful"), unless it can be proven that the service suffered a major failure as described in Section 1.2.
5.3 Failure to invest time, complete assignments, or participate actively in accordance with the suggestions of tutors or consultants, resulting in a personal perception of poor results.
6. Refund Application Process
6.1 Application: All refund requests must be sent via email to kaiencareerconsulting@gmail.com, stating your name, order number, and detailed reasons.
6.2 Review: We will review the request within 5 working days of receiving the application and may request supplementary information from you. Relevant services will be suspended during the review period.
6.3 Processing: Once the review is approved, the refund will be returned via the original payment method within 10 working days. Please note that the processing time of banks or payment platforms may extend this timeframe further.
7. Policy Amendments and Inquiries
7.1 We reserve the right to update this Refund Policy, and the updated policy will be published on the website. Changes to the policy do not apply to services purchased prior to the effective date of the changes.
